NewCrop Migration FAQs

At EchoVantage, and our parent company, Therapy Brands, our number one goal is to provide you with the best software solutions and services, enabling you to focus on care. We are excited to announce our improved ePrescribe solution, NewCrop. 

Beginning in early summer, we will start migrating to our enhanced e-prescribe solution. The new solution provides an integrated and intuitive experience that creates efficiency, supports quality patient care, and provides real-time benefits processing. You will also receive EPCS (Electronic Prescribing for Controlled Substances), PDMP (Prescription Drug Monitoring Program) Access & DEA (Drug Enforcement Administration) audits, prior authorization processing, and pharmacogenomic support. These features are in addition to the award-winning prescription accuracy and tailored innovation you have come to expect from Therapy Brands’ products.

Q: Where can I go to get more information about NewCrop? 

A: There is an EchoVantage specific Knowledge Base devoted to all things NewCrop with plenty of information to get you started.  

 

Q: How difficult is the EPCS verification compared to DrFirst? Are Hard and Soft tokens available? 

A: The verification process is comparable DrFirst in terms of time and complexity. And yes, hard and soft tokens are available.

Q: What if a client has more than one pharmacy?  

A: If a client has more than one pharmacy, the five most recent will be migrated from DrFirst to NewCrop. You can select one of those or search for and add a new one when you prescribe a medication.

Q: Does New Crop show medicine history from other/previous prescriptions and prescribers? 

A: You can access a patient's drug history and active medications from other providers using the Surescripts Drug History function in NewCrop.

Q: Can I create a script that has multiple directions? 

A: Scripts can have multiple or complex directions that don't fit into the fields on the form. You can use the Freeform Sig Option to populate that information.

Q: Can order sets be dropped down for favorites, for example, detoxing order sets that have titration? 

A: Yes! You can create both favorites and drug sets within NewCrop.

Q: Can I add an over the counter medication? 

A: Yes, you can add OTC medications provided they are in the medication list. Search for them like you do for other meds and add them to the patient's active med list or prescribe them if needed. 

 

Q: On a scheduled script, can you put a DO NOT FILL date ? 

A: Yes! In NewCrop, you will select an effective date. When an effective date is selected, the Rx is transmitted with that date, letting the pharmacy know not to fill the Rx until the effective date that you selected. 

 

Q: Will refill requests come from our pharmacies into this system?  

A: Yes, refill requests from the pharmacy will come into NewCrop. We register prescribers to ensure those requests come to the correct software. 

 

Q: Will the allergies entered in Echo populate in NewCrop, or would they need to be entered in both locations? 

A: Allergies are only managed within Echo and then pushed to NewCrop, making EchoVantage the source of truth for allergies. The allergy form was greatly improved, and the codified list updated to streamline the process of collecting and maintaining allergy information. The list updates include the latest RXNorm, SNOMED, and ICD10 codes, and newly added codes from the FDB Enhanced Therapeutic Classification System.  

 

Q: I'm a little confused...Echo transmits to NewCrop? [Need distinction for different things, allergies, diagnoses, meds, and pharmacies] 

A: This is a lot of information to take in at once. Let's break each of these down.

  • Echo is the source of truth for Diagnoses and Allergies.
    • These are managed within Echo. 
    • Each time a user logs into or out of NewCrop, the diagnosis and allergy information for that client syncs up to NewCrop. 
    • Diagnoses and Allergies cannot be edited in NewCrop.
  • NewCrop is the source of truth for Medications.
    • Medications are managed within NewCrop.
    • Each time a user logs into or out of NewCrop, the medications information for that client syncs down to EchoVantage. 
    • Medications cannot be edited in EchoVantage.
  • Pharmacy information is only stored in NewCrop. This information will be pulled from DrFirst, stored temporarily during the migration process, and then uploaded to NewCrop. This sync process only happens one time as it is part of the go-live migration. 

 

Q: Do we have the ability to print out a current medication listing as a medication order for a nursing home to give meds to patient? 

A: Yes! When viewing a patient's list of active medications, click the printer icon at the top left to print the medication list. 

 

Q: What if my staff’s DEA numbers have more than the usual 9 characters? For example, some have a training number that is the usual 9 characters plus a dash “-” and 4 more? 

A: The format NewCrop is expecting does not include the dash or last 4 digits, which is why EchoVantage is limiting the DEA number to just 9 characters. Keep in mind, you only need to populate the DEA number for prescribers with EPCS; it is optional for everyone else. 

 

Additional FAQs (Updated 5/23/2023)

Q: Will we still be able to access the prescription history for a former client that does not have a profile in EchoVantage? 

A: EchoVantage is considered the source of truth for determining which clients migrate to NewCrop. Clients that are not saved within EchoVantage cannot be migrated to NewCrop.  

 

Q: For EPCS, will we need to go through the ID proofing process again for NewCrop? 

A: Yes. Every provider will need to go through the identity proofing process again. We will provide plenty of time in advance to complete this authentication prior to the migration date, so there is no interruption in your ability to prescribe. 

 

Q: What does the process look like for adding authenticators? 

A: The registration for authenticators will be prior to the migration date and allow ample time for receipt, so there will be no interruption to your ePrescribe access. Training webinars and written documentation will cover the process for adding authenticators to a prescription. 

 

Q: Are monthly subscription rates available for NewCrop (vs. annual)? 

A: No. ePrescibe billing will stay the same with NewCrop as it was for DrFirst. This includes the cost and frequency of billing. 

 

Q: Will all information from DrFirst be integrated into the new e-prescribe solution? For example, will the client’s history of medications/refills, etc., be transferred? 

***Updated Answer****

A: Yes! We can transfer information like Allergies, all Active Medications, Patient Pharmacies, and 7 years of medication history. All history will be downloaded and stored in eV. The last 7 years will be sent to NewCrop.

 

Q: Will we need to activate medications again in NewCrop? 

A: No. All active medications in DrFirst will transfer to NewCrop as active medications.

Q: Are monthly prescription rates available for NewCrop (vs. annual)?

A: No they are not.

 

Q: Why do I have to switch? 

A: We are implementing a new ePrescribe solution to provide expanded capability. 

 

Q: What do I need to do to make the switch? 

A: There is nothing for you to do right now. In the future, existing and new prescribers will enroll in NewCrop and attend training webinars.  

  

Q: Who will I work with when I have questions? How will I receive NewCrop support? 

A: One of the benefits of the integrated solution is providing Therapy Brands’ customers with a sole source of support via Therapy Brand offerings. Your dedicated EchoVantage support team will be your primary support resource during the transition and beyond. 

  

Q: What will I be charged, and how will my charges change? 

A: The charge timeline and rate remain the same as your current schedule. The enrollment fee is waived for prescribers enrolled with the previous solution. 

  

Q: What documentation will be needed to switch? 

A: Due to the compliance requirements of SureScripts, each Provider will need to re-register and provide identification. Therapy Brands will provide a simple, easy-to-use registration process weeks in advance to ensure an efficient transition. 

  

Q: Can I stay with my current ePrescribe provider? 

A: No. Once the NewCrop integration is live, any competitive solution will only be available as a stand-alone option, which means e-prescribing data and EHR (Electronic Health Record) data would not be synchronized, causing workflow disruptions by necessitating users to jump between applications. The NewCrop integrated solution will serve your needs and provide a comprehensive solution, including a sole source of support with Therapy Brands offerings. 

  

Q: Will all information from my current provider be integrated into the new e-prescribe solution? For example, will the client's history of medications/refills, etc, be transferred? 

A: Yes! We can transfer information like Allergies, Active Medications, and Patient Pharmacies.  

 

Q: Will anything not be moved over?

A: You will need to reset your Prescriber Favorites. If multiple prescribers in the facility will use the same Favorites list, NewCrop offers the ability to copy the Favorites list. To enable your practice to standardize prescribing, Drug Sets may need to be created.  

 

Q: Will NewCrop provide me with everything I have now? 

A: Yes! NewCrop makes it easier for prescribers to make the best decisions for their patients at the point-of-care. The NewCrop integration provides the following: 

  • EPCS and PDMP Access 

  • Favorites, Drug Sets, and Compounding support 

  • Real-Time Benefits and Electronic Prior Authorization processing  

  • Pharmacy Communications, including Renewal and Change requests and Fill notifications 

  • Formulary and Coverage Information 

  • Pharmacogenomic Support, Interaction Checking, All-Provider Patient History 

  • Patient Education...and more! 

   

Q: How will I learn how to use NewCrop? 

A: Our Customer Care and Implementation teams will work with you every step of the way. NewCrop University webinars, knowledge base articles, and implementation Q and A sessions will be available. More information regarding these resources will be shared in the coming months.
